This is a template for the first email for the Davening Coordinator, two to three weeks before his/her shabbat:

This is a reminder that you've signed up to coordinate the davening for
August 31, Labor Day weekend. The parsha is Nitzavim/VaYelech, a
double parsha. The haftarah is the seventh of the haftarot of
consolation, but aside from that, there's nothing out of the ordinary
about this shabbat.
There are quite a few people who are listed as needing a medium or long
time to prepare for a Torah reading. The earlier you start, the larger
a pool you have to choose from, and the easier your job will be.

If you haven't done this already, please
make sure the people you've lined up to lead davening know about the
new schedule guidelines, linked on the Web at the bottom of this email.
Also,
please remind all daveners and leyners to arrive at least 10 minutes
before they're "on".

Just a reminder that you have to get Minyan keys
either from the last shabbat's Setup or Kiddush Coordinator, or from
the Keeper of the Keys. Read the instructions for opening and locking
the Temple Sinai school annex at http://www.minyanshaleym.org/coordinator.htm.
{Kiddush coordinator's name}:
All food for kiddush should be brought to
the shul before shabbat, and stored downstairs in the kitchen. Any
items you put into the refrigerator should be labeled Minyan Shaleym
on
them. As well, anything that is not put into the refrigerator should be
put into our storage cabinet in the kitchen. It's well-labeled, so you
should be able to find it. There should be a full stock of paper good
for kiddush,
including tablecloths, etc. If we are running low on something, please
let me know so that I can let the next kiddush people know to buy them.
You also may want to check with {the name of the person who did
kiddush
last week} to find out if there is any food left over from the
week
before.
Also, certain responsibilities of the Kiddush Coordinator are sometimes overlooked:
- Making
sure that the lights are turned on before shabbat -- the light
in closet as well as those in the Weintraub Auditorium -- as well as
setting
the downstairs motion detectors for shabbat
- Locking the auditorium after kiddush
- Turning off the lights and resetting the motion detectors to weekday
mode after shabbat
